The company TopS Business Integrator (TopS BI), a member of the CC “Systematics”, concluded the first phase of replication and the introduction of the Automated System Model solutions document management companies in the electric distribution complex Federal Network Company.
The decision “An automated document management system” (ASUD) developed jointly by companies and TopS BI “FSK UES” on the platform of EMC Documentum to automate all processes document management company “FSK UES”, its affiliates and subsidiaries. As previously reported, a project to create ASUD EMC Corporation received an award as the “most interesting and successful industrial project” in 2007 in Russia.
The aim of the project replication and the introduction ASUD in IDC and RSK is the creation of a common information space and of a common approach to document management in OAO “UES FGC” and electric distribution companies. At its scope of the draft has no analogues in Russia.
The system automates work with the incoming and outgoing correspondence, the requests of leaders of the protocols and the board of directors, on the orders of sending and training, resolutions, notifications, as well as internal administrative documents and company-level units. Implementation of the system provides a comprehensive automation of business processes to ensure documentation, monitoring work with documents and their execution, the organization of a unified database management documents. In addition, ensured delivery of documents and orders in real-time operational control of their execution, the remote organization of work, monitoring of the document.
In the 10 months ASUD had been installed in 71 distribution network company: Interregional Distribution Company (IDC) and distribution network companies (RSK). In the first phase ASUD in 13 companies introduced “until the last user”, ie All employees of companies connected to the system (the executive office of OAO “Urals IDC”, OAO “Siberia IDC”, OAO “North-West IDC”, OAO “IDC Centre”, OAO “IDC Centre and Privolzhya”, OAO “MRSK North Caucasus”, OAO “Volga IDC”, OAO “IDC South”, OAO “MGESK”, OAO “Lenenergo”, OAO “Tyumenenergo”, OAO “Kubanenergo”, OAO “Yantarenergo”); in each of the 58 draft RSK (now branches IDC) implemented up to 20 jobs. Total connected to the system about 5000 users.
The project replication ASUD BE in “Network” was set up and launched into operation 13 server groups. More than 5000 users were trained and the subsequent on-line testing the level of skills in ASUD. This process ensures a special invitation Company Training Center “Softline”, specializing in teaching information technology. In addition, support for the creation of first-line advisers TopS BI trained professionals in the field of competence of local centres and about 30 administrators system.
During the experimental-industrial exploitation System, held within 2 months, the system was formed more than 180 thousand documents and resolutions.
The project used technology developed by TopS BI “Federation”, provides users connected to a distributed server clustering, groups the opportunity to exchange documents in a single system of electronic documents. The main functions of this module, integrated into the interface ASUD include the creation of a common mailing list and mailing lists of all companies connected to a network of federal, as well as automatic registration of incoming paper based on outbound from another company.
Successful implementation of the project contributed to the establishment of OAO “UES FGC” effective government program replication – Project Steering Committee chaired by the Director of Informatization OAO “UES FGC” AG Chernov and the Director of Administration of OAO “UES FGC” NS Kuvshinovoy, as well as central office project, consisting of several working groups: the methodology documentation, implementation, technical team and escorts. The introduction was conducted simultaneously in all the companies working alongside the project team of consultants TopS BI. In addition, the service was set up “hot line” for the implementation and project portal to provide all participants in the project relevant information and timely support for all emerging issues.
As already reported, a model project ASUD solution is used to automate and document management OAO “UES FGC” and its affiliates. The number of users central server ASUD group currently comprises more than 6000 people. Thus, the total number of users ASUD in OAO “UES FGC”, branches and DZO company currently is more than 11 000 people.
